When are court fee reports due?

Court fee reports are due by the 10th of the month following the activity.


Are we required to submit a court fee report if we do not have activity?

Yes, court fee reports are required even if you have no fees to report.


Why do we pay court fees and what is the money used for?

Court fees and their use are mandated by the West Virginia State Legislature. The Treasurer’s Office only collects these funds and distributes them to the appropriate state agency.

What is this charge on my credit card, debit card or bank statement?

The charge could be for goods or services provided from any state agency or university, such as a professional license renewal, a hunting/fishing license, a DMV fee or tuition and fees. If you are unsure, please click here to contact customer service. Someone will reply to you within the current business day.


What is the process for receiving funds via Fed Wire?

Contact the Participant Accounting Cash Manager at 340-1581,or click here to email, and provide the mount of wire and the expected receipt date. You will be provided wiring instructions, plus guidelines for preparing a WVFIMS deposit coversheet.


What is the process for disbursing funds via Fed Wire?

Enter an Off-System Disbursement coversheet in WVFIMS, and deliver it to the Auditor’s Office with necessary back-up. The comment section must include the settlement date of the wire. Email the document number to ParticipantAccountingGroup@wvsto.com, no later than 10:45 a.m. on the day the wire is to settle. Unless a specific time is requested, Fed Wires are released between 12:30 p.m. and 2:00 p.m. each day.


What is the process for establishing an investment account?

Complete the State Agency Account Request form and submit it, along with a copy of the WV State Code section authorizing investment, to Participant Accounting. You will receive notification once the account has been established. Please click here to obtain the appropriate request forms.


What is the process for requesting investment account transactions?

Enter a WVFIMS Request to Invest, or Agency Withdrawal. Include the desired settlement date, and the four-digit investment account number, in the comment field. Documents approved to the Treasurer’s office, by an employee with electronic signature authority, before 10:00 a.m. are eligible for same-day
processing. Documents approved after 10:00 a.m. will be processed the following day.


What is the process for closing an investment account?

Closing an account involves withdrawing both principal and accrued interest. Click here to send a request for your closeout balance. To properly close an account, Participant Accounting must provide the accrued interest amount, and the WVFIMS withdrawal document must be prepared for the total of principal and accrued interest. Please note that the document must be approved in WVFIMS by 10:00 a.m. on the day of the interest notification.


Will I receive a monthly statement for my investment account? How do I
check my balance between statements?

A monthly statement is prepared for each investment account. If you need to check your balance between statement dates, contact the Participant Accounting department.
